The charity operates under a written constitution adopted in 2017 and amended in 2023. Its charitable purposes are the advancement of community welfare through the conservation of the built and natural heritage, the protection of the natural environment, and the advancement of education in traditional horticulture.
The board of trustees meets six times a year and holds an Annual General Meeting open to all members. Trustees are unpaid and are reimbursed only for vouched, pre-approved out-of-pocket expenses. The following policies are formally adopted, reviewed annually and available free of charge on written request to the Honorary Secretary at Ardamullivan, Shanaglish, Co. Galway, H91 CA30, Ireland:
- Constitution and rules of membership
- Conflicts of interest and loyalty policy, with a standing register of interests
- Reserves policy (target: three to six months of operating costs)
- Risk register and risk management policy
- Financial controls and dual-authorisation payments policy
- Safeguarding policy for children and at-risk adults
- Volunteer handbook, code of conduct and grievance procedure
- Health, safety and environmental field-work policy
- Data protection and records retention policy
- Complaints and whistleblowing policy
Charities Governance Code
We comply with the Charities Governance Code and complete an annual compliance record against its six principles. Where a standard is only partially met, the shortfall and the corrective action are recorded in the minutes and reported to the AGM rather than omitted.
Making a complaint
Complaints may be made in writing to the Honorary Secretary by post or by email to randolph-bevx@gmx.com. We acknowledge complaints within five working days and aim to conclude them within thirty. If you remain dissatisfied, you may raise a concern directly with the Charities Regulatory Authority, 3 George's Dock, IFSC, Dublin 1.
